How we handle website and inquiry data

Silbertool collects B2B contact and inquiry data through website forms and communications. This information is used to respond to requests, prepare quotations, support product and application review, and manage business relationships.

Form submissions may be stored and managed in Zoho CRM. Silbertool’s Zoho CRM environment is hosted in the United States, so personal data submitted from the European Economic Area, the United Kingdom, or elsewhere is transferred to and stored in the United States. Where required, this transfer is protected by appropriate safeguards such as Standard Contractual Clauses and a data processing agreement with Zoho. Global operations, service providers, subprocessors, integrations, and regional teams may also involve international access or processing.

Data we may process

The website forms may collect inquiry type, manual inquiry text, name, company, email or phone, thread size, material, product information, application details, damage description, production objective, AM part information, timeline, and any other context you provide.

Technical metadata such as IP address, timestamp, browser or device information, and source page may also be processed for security, spam prevention, hosting, forms, analytics, and website improvement where permitted by law.

Why we process data

The main purposes are practical and business-related: to understand your request, route it to the right team, provide product or application guidance, prepare recommendations or quotations, support customer relationships, and comply with applicable legal obligations.

Sharing and processors

Where needed, your request may be shared with relevant Silbertool USA, EU, or Australia teams, distributors, dealers, service partners, technical experts, hosting/form providers, CRM providers, email systems, professional advisors, and other processors or service providers.

Silbertool reviews vendors and processors such as Zoho CRM, website hosting and form handling, email systems, and analytics providers (WebTrax and, with your consent, Google Analytics — see our Cookie Notice). We do not currently use advertising or remarketing tools, and we do not sell personal data.

Retention

Silbertool keeps personal data only as long as reasonably necessary for the purpose for which it was collected, unless a longer period is required for legal, tax, accounting, warranty, contractual, regulatory, dispute, or legitimate business reasons.

  • Spam, irrelevant, test, or clearly unqualified inquiries are usually deleted or archived within 6 to 12 months.
  • Normal B2B inquiries and sales leads are usually kept up to 3 years after the last meaningful interaction, unless there is an active opportunity, customer relationship, technical reason, or other legitimate business need.
  • Customer, quotation, order, invoice, delivery, warranty, support, distributor, partner, supplier, and accounting records may be retained for the period required by applicable legal, commercial, accounting, support, or dispute needs.
  • Marketing consent records are kept while a person remains subscribed. After unsubscribe, a minimal suppression record may be retained where needed to prevent future marketing contact.
  • Privacy request records may be retained for a reasonable period to demonstrate compliance, usually 2 to 3 years unless legal counsel recommends otherwise.

Your GDPR and privacy rights

Depending on your location and applicable law, you may request access to personal data, correction of inaccurate data, deletion, restriction of processing, objection to processing, data portability, withdrawal of consent, or marketing opt-out.

Some requests may be limited where Silbertool needs to retain information for legal, accounting, contractual, warranty, export-control, sanctions, regulatory, dispute, or legitimate business reasons.

How to make a request

Send privacy requests to [email protected]. Please include enough information for us to identify your record and understand your request.

For access, deletion, export, or similar requests, Silbertool may need to verify your identity before disclosing or changing data. For EU/UK GDPR requests, the usual response deadline is one month from receipt, subject to legal extensions for complex requests.
